A conversation is more than an audio file
We protect our passwords, financial records and client files. But when the same information is spoken aloud, we sometimes treat it as if it were less sensitive.
Conversations often contain precisely the details you would never put on your website. Why a client is hesitating. How much room you have to negotiate. Which new service you are developing. What is not yet working well internally.
A recording or transcript can bring all of that information together in a single file.
That is why privacy in business AI is not just about personal data. It is also about trust, business knowledge and your competitive position. About information you choose to share with a colleague or client — not with the rest of the world.

Your retention choice
Temporary dictation audio is deleted immediately after processing by default. Keeping a useful report is a deliberate choice.
Using AI is not the same as training AI
An AI model does not have to learn from your conversations to process them. An existing model can turn speech into text or create a summary without updating its training.
That distinction matters.
When information does become training material, different risks arise. Research shows that language models can memorise parts of their training data. Confidential information in a training dataset is therefore not simply the same as a temporary file you can delete later. Research on training-data memorisation.
This does not mean every AI service uses your input for training. Nor does it mean a competitor can automatically retrieve your conversations. It does mean you should know in advance what is stored, how it is used and who makes those decisions.
TranscribeStation’s principle is clear: your content is processed to carry out your request, not to improve shared AI models for other people.

TranscribeStation is designed around two clearly defined processing environments. You consciously choose where your information is processed.
On-site: a dedicated Mac mini or office server, managed by your organisation or Operations Labs.
In Operations Labs’ private EU cloud: with AI models that we install, run and manage ourselves.
Your computer is the client: where you operate the system and receive the result. AI processing takes place on the selected server. Customer audio, transcripts, translations and summaries are not forwarded to an external model service managed by an AI provider. That boundary remains in place if something fails: the system does not silently switch to a public AI service to finish the job.
‘In Europe’ is only the beginning. A European data centre tells you where the infrastructure is, not who processes your content. In our private EU cloud, an infrastructure provider supplies computing power and storage; Operations Labs manages the models and the processing environment. Access controls, updates and network security remain essential. Private AI makes that responsibility concrete.
A privacy commitment matters most when things do not go according to plan.

Not an unnecessary archive.
Any recording can quietly become a permanent file. We start from a different principle: keep what is needed, and delete what has served its purpose.
Keeping a report remains a deliberate choice
Saved reports, your own downloaded exports and any backups need their own retention periods and arrangements. They do not disappear automatically with temporary audio.
You speak
You dictate or have a conversation. The content goes to the server profile you deliberately selected.
Private AI processes
The selected server creates text, a summary or a translation. Your content is not forwarded to external AI services.
Temporary audio is deleted
By default, temporary dictation audio is deleted immediately after processing. Your useful result does not have to disappear with it.
More convenience, without giving up control
The value of AI lies in what it helps you do: spend less time typing, get to the heart of a conversation faster and collaborate more easily across languages.
But TranscribeStation’s value also lies in the conditions under which that happens.
You know where your information is processed. Your business knowledge is not sent to external AI services. Temporary audio is cleared away. And keeping information becomes a conscious choice.
That helps more than your organisation. It also supports the trust of the people you work with. A client should be able to share sensitive information without it quietly acquiring a new destination. An employee should be able to trust that a conversation is handled with care.
We believe good AI should be judged not only by what it can do, but also by what it does not do with your data.
